Role Summary
The Human Resources Assistant is a vital member of the U.S. Human Resources (HR) team, responsible for ensuring efficient administration and seamless execution of HR processes. By handling a variety of operational tasks, this role contributes to the department’s overall effectiveness while fostering an organized and supportive workplace environment. Working in partnership with the Professional Staff HR team, the HR Assistant plays a key role in delivering exceptional support to employees throughout their lifecycle at the firm.
This role is hybrid and requires the ability to work in-office 2-3 days per week, each week.
Core responsibilities will include:
Employee Lifecycle Coordination
Manage onboarding and offboarding processes, including liaising with managers and internal teams, preparing communications, and ensuring compliance with firm policies.
Onboarding
Oversee all aspects of onboarding for professional staff, from preparing materials to conducting orientation sessions.
Coordinate schedules, introduce firm culture and policies, and ensure new hires have the necessary tools for success.
Organize and verify HR documentation in alignment with legal and firm requirements.
Serve as the main point of contact for new hires during their transition.
Offboarding
Facilitate the offboarding process for departing staff, ensuring the collection of firm assets and accurate processing of final details in the HRIS (Workday) system.
Collaborate with internal teams to address logistics and provide departing employees with necessary resources.
Employee Support
Act as a first point of contact for professional staff inquiries, offering guidance and connecting employees with relevant resources.
HRIS Data Management
Oversee data entry and reporting in the HRIS (Workday) system for various personnel actions such as hires, terminations, and compensation updates.
Review and reconcile paid time off transactions for accuracy and compliance
Other focuses include:
Serve as a liaison between HRIS, Payroll, Benefits, and HR teams to ensure smooth processes and resolve system-related issues.
Policy and Process Consistency
Work with HR teams across New York and Washington offices to align practices and maintain uniformity.
Keep the HR office manual current, ensuring updates are implemented and communicated.
Required Qualifications
- Bachelor’s degree required
- Strong attention to detail and ability to maintain accuracy in a fast-paced environment.
- Excellent time management skills with the ability to handle multiple priorities effectively.
- Outstanding written and verbal communication skills with a professional and approachable demeanor.
- Proven ability to provide top-notch service to both internal and external stakeholders.
