Job Title: Temporary Executive Assistant to Managing Partner
Location: Onsite in New York, NY
Compensation: $40 – $50 per hour
Contract Duration: 1-2 months (Temporary)
Job Brief:
We are currently seeking a Temporary Executive Assistant to support the Managing Partner for a contract duration of 1-2 months. The ideal candidate will be a proactive, highly organized individual who thrives in a fast-paced environment and has the ability to manage complex administrative tasks efficiently. Key Responsibilities:
* Act as the primary point of contact between the Managing Partner, internal teams, clients, and external partners.
* Manage the Managing Partner’s calendar by scheduling and organizing meetings, appointments, and events.
* Coordinate travel arrangements, including booking flights, accommodations, and preparing detailed itineraries.
* Prepare and track expense reports, ensuring timely submission and processing of receipts and expenditures.
* Take meeting minutes, follow up on action items, and track deadlines to ensure timely completion.
* Screen and direct phone calls, handle email correspondence, and manage confidential communications.
* Organize and maintain office filing systems for easy access to important documents.
* Prepare internal and external communications such as memos, reports, presentations, and emails.
* Oversee general office tasks, including maintaining office inventory and ordering supplies as needed.
* Support project coordination, tracking progress and deliverables to ensure deadlines are met.
Requirements and Skills:
* Proven experience as an Executive Assistant or in a similar administrative support role, preferably supporting senior executives.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Exceptional organizational and time-management skills, with the ability to manage competing priorities.
* Excellent written and verbal communication skills, capable of interacting with all levels of the organization.
* High degree of discretion and ability to handle confidential information with integrity.
* Familiarity with e-calendars (Google Calendar, Outlook) and scheduling tools.
* High School diploma required.
